Job Title: Procurement   Plant Administrator

Purpose of Role:

 Plant Administrator based at our Head   Office, Motherwell. This is a key role within the Procurement Department to help support   the Plant Manager with the company's vehicle fleet and equipment. You will be   responsible for maintaining asset registers, arranging servicing and   maintenance, handling fuel usage reports, and ensuring accurate records   across our fleet management system.

· Strong organizational skills with attention to detail.

· Ability to multitask and work under minimal supervision.

· Strong communication skills and the ability to work in a team.

· Driving Licence

· Strong administration / Microsoft office / excel

The Role (requires):

The role:

· Maintain and update the master register for company vehicles and   assets.

· Arrange servicing, maintenance, MOTs, and any required testing.

· Upload all relevant records to the SharePoint asset number folder.

· Raise and process asset and maintenance orders, including GRNs.

· Resolve queries on asset invoices by liaising with appropriate teams.

Hired Vehicle Management:

· Coordinate servicing, MOTs, and maintenance for hired vehicles.

· Collaborate with internal teams to source and raise orders for   additional vehicles.

· Manage off-hiring processes, ensuring correct orders are issued and   tracked.

Vehicle Tracking:

· Maintain tracking systems on all applicable vehicles.

· Update tracking information and set up alerts for driving behaviours   (e.g., speeding, geo zones).

· Run reports for Line Managers and senior management.

· Highlight any inappropriate vehicle use to the Line Manager.

· Fuel Usage Monitoring:

· Prepare weekly fuel usage reports for the company’s fuel management   systems.

· Manage the issuance and cancellation of fuel cards and fobs, as   instructed.

· Weekly Plant Allocations:

· Manage the weekly plant sheet for projects

· Ensure accurate GRNs from delivery tickets; follow up with suppliers   as needed.

· Process weekly allocations for cost accruals and handle off-hiring   requests.

· Resolve plant-related invoice queries for projects

Other General Duties:

· Collaborate with other team members and assist with general tasks as   needed.

· Provide coverage for team members on annual leave or during unexpected   absences.

· Address queries or issues raised by Line Manager or Directors   promptly.
