A residential property management and letting company operating in Scotland are looking to add a Property & Business Support Coordinator to their busy team. They specialise in the management, refurbishment, and letting of privately owned residential properties, working closely with landlords, tenants, contractors, and local authorities to ensure properties are compliant, well maintained, and professionally managed.
The role requires a flexible approach to working hours. Standard working hours are Monday to Friday, 9:00am to 5:00pm. However, due to the nature of property management, there will be occasions where evening and weekend work is required, for example to accommodate viewings, inspections, key handovers, or urgent property matters.
Any out-of-hours work will be planned where possible, and flexibility will be managed sensibly to ensure a healthy work-life balance. Hourly rate for the role will be NMW.
Key Duties and Responsibilities :
Property Management Support
· Support the day-to-day management of residential rental properties across the portfolio
· Act as a point of contact for tenants regarding general enquiries, maintenance issues, and tenancy-related matters
· Log, track, and update property issues using company systems (Notion, spreadsheets, compliance folders)
· Assist with organising and monitoring repairs, maintenance works, and refurbishments
· Liaise with approved contractors and suppliers to obtain quotations, schedule works, and track completion
Lettings & Tenant Onboarding
· Support the marketing of properties, including preparing listings and assisting with OpenRent adverts
· Organise and coordinate viewings in line with company best practice
· Assist with pre-screening applicants prior to referencing
· Support tenant onboarding, including issuing tenancy documents, arranging key handovers, and preparing welcome information
· Assist with move-in inspections, photo/video records, and documentation sign-off
Compliance & Administration
· Assist in ensuring all properties comply with Scottish housing legislation and regulatory requirements
· Maintain accurate records for landlord registration, deposit registration, and tenancy documentation
· Support deposit registration with the appropriate tenancy deposit scheme
· Assist with inspection scheduling and follow-up actions
· Maintain organised digital and physical property records
